The Southeast Chapter of Women in Cable Telecommunications is seeking organized and energetic individuals interested in running for the chapter’s 2012 Board. WICT Southeast will require your manager to approve your nomination prior to September elections. A form will be provided for your manager to sign.

• Be familiar with the WICT mission statement, the WICT Touchstones of Leadership, and promote WICT objectives as appropriate within your professional context.
• Attend one Board meeting per month (approximate three-hour commitment); missing no more than three meetings.
• Prepare for Board meetings by providing activity updates, and reviewing agenda and supporting materials.
• Attend chapter events.
• Participate effectively in board meetings by voicing opinions and shaping future strategic direction.
• Follow through on commitments made and assignments as described in board role description.
• Establish personal goals and objectives for term of service on the board.
• Be a full voting (executive, regular or life) member of WICT.

• Assumes and accepts the responsibilities as designated by the chapter president in his/her absence.
• Attends 80% of all chapter board meetings and chapter events.
• As a member of the Executive Board, participates in chapter spending decisions.
• Participates in Executive Board meeting and/or conference calls, as necessary.
• Assists and/or oversees governance with the Strategic planning process.
• Provides continuity for the Succession planning process and formulates plans for his/her term by organizing the Succession planning committee.
• Develops action plan to further identify and add clarity to all roles and responsibilities prior to annual transition. Ensure appropriate follow up and effective transitioning of all chapter duties.
• Organizes the financial review process by identifying three volunteers to independently audit previous year’s finances.
• Oversees activities of Secretary, Director of Mentoring, Director of Golf & Tennis and Director of Red Letter Awards
• Approves and signs checks over $500.
• Responsible for the implementation of specific section of the Model Chapter Business Planned, as assigned.

Secretary (1 Open Board Position)

• Works in collaboration with the Chapter President to prepare and distribute agenda in a timely manner for all Board meetings (including Executive Board meetings).
• Notify Board members of times, dates and locations of Board meetings.
• Maintains, files, and distributes minutes of all Board meetings (including Executive Board meetings) within one week of meeting date. *If the secretary cannot be present at any meeting, he/she ensures proxy is able to keep minutes. Asks for motion to read/approve minutes.
• Works in collaboration with the Chapter President to process all/any ad-hoc communications to Chapter members or to Board members as directed by Chapter President.
• Maintains Chapter By-Laws.
• Provides WICT National Headquarters current lists of Board members.
• Keep VP informed regarding activities and any problems that might arise.

Treasurer (1 Open Board Position)

Works with Senior Treasurer as directed on the following:

• Maintains the accounting and other financial records of the designated chapter.
• Works in unison with the Chapter President to implement the annual budget and strategic plan.
• Ensures the review and complete understanding of WICT National’s internal control document.
• Attends the 2011 WICT National Financial webinar in February.
• Works in unison with WICT National to ensure timely submissions and document records, as requested.
• Monitors all chapter bank accounts.
• Deposits all income and writes checks in timely fashion.
• Manages all finance-related accounts (pay pal, etc.).
• Provides written monthly financial report in preparation for regular Chapter Board meetings.
• Keeps Board members informed as to the chapter's financial status on a regular basis.
• As a member of the Executive Board, participates in Chapter spending decisions.
• Thorough planning, monitoring and working with the Board, assures that adequate resources are available to fund chapter programs.
• Participates in Executive Board meetings and/or conference calls, as necessary.
• Works with incoming Chapter President and Treasurer to assure smooth transition of financial matters.
• Responsible for filing YE financial report, budget and financial summary with WICT National by stated deadline.
• Responsible for overseeing the reporting and revenue generating areas of the chapter.
• Implements shadowing of duties by designating assistant and/or mentor to ensure internal controls and processes are being met and documented.
• Ensures thorough understanding of 501c6 status.
• Responsible for the implementation of specific section of the Model Chapter Business Plan, as assigned.
• Other duties, as specifically outlined by designated chapter.
• Eligible for Sr. Treasurer Position in the following year.

Director of Membership (2 Open Board Positions for GA & 1 Open Board Position for TN)

Works with Senior Membership Director as directed on the following:

• Responsible for developing, implementing and communicating the chapter's annual membership plan in a timely manner to the national office and the chapter membership.
• Become familiar with WICT national membership program and with renewal/new member goals and regularly monitor chapter membership.
• Maintains consistent visibility and working relationship with WICT National.
• Coordinates the current local membership list with WICT National to assure the highest possible accuracy.
• Consistently reviews and follows the Model Chapter Business Plan to ensure actual membership goals are being tracked.
• Develops and carries out new member acquisition and renewal campaigns that are within budget and designed to achieve the chapter goals.
• Assists members with renewals, member communications to include contact updates, online process, etc., and forwards to WICT National to assure database accuracy for all chapter membership rosters.
• Responsible for sharing membership campaign successes with chapter and membership committee representatives.
• Responsible for the design, plan and implementation of new member orientation programs as agreed upon by the Board.
• Reviews monthly the most current membership roster and non-renewal roster and assures all chapter communications are being sent to the most current list of chapter members.
• Assures Chapter events and programs include membership recruitment information and any member updates, as well as, track and follow-up both member and prospect activity at Chapter events.
• Assures all completed membership applications and dues collected at chapter events are forwarded to WICT National for immediate processing.
• Attends the 2011 WICT National Membership webinar in February.
• Eligible for Sr. Director Membership & Partnership in the following year.

Director of Partnership (2 Open Board Positions)

• Manages the Chapter sponsorship efforts which provide the primary source of funding for all Chapter activities.
• Responsible for creating, keeping and updating target/actual sponsor lists/database with contacts and annual sponsorship amounts. *Going forward, WICT National will request this information from year to year.
• Adheres to consistent brand messaging and guidelines as outlined by WICT National and the Model Chapter Business Plan.
• Responsible for obtaining sponsorships and coordinating benefits with other members of the Chapter board.
• Responsible for ensuring best in class sponsor relations.
• Develops new and innovative sponsorship opportunities to ensure the financial success of the events and Chapter.
• Cultivates and pursues sponsorship leads.
• Ensures timely collection of pledged sponsorship monies.
• Works closely with the Chapter Treasurer to ensure proper invoicing and payment procedures are met.
• Eligible to be Sr. Director of Membership & Partnership in following year.

Director of Outreach (1 Open Board Position)

• Sets strategy, guidelines, processes and tracks progress of all standalone networking and outreach events for Chapter members at the local level.
• Works with Membership Chair to identify and recruit new opportunities for Chapter partnership and membership growth. Targets could be additional Programmers, MSOs, vendors, non-endemics, charities, community organizations etc.
• Conducts open-house informational meetings or lunch and learns to generate interest in partnership and membership.
• Serves as the primary contact to other industry organizations (NAMIC, CTAM, Cable Positive etc.), as appropriate.
• Oversees the Outreach Calendar for the year and has a clear understanding of budgeting, staffing and follow-up for events.
• Ensures all marketing and communications for outreach programs are done on a timely basis.
• Create/sustains a group of liaisons from underrepresented companies whose duties may include:
  • Serving as WICT ambassadors to their respective companies
  • Communicating Chapter program information (posters, event postings on corporate message boards)
• Ensures all marketing and communication for outreach programs are done on a timely basis.
• Eligible for position of Sr. Director Membership & Partnership in following year.

Director of Communications (1 Open Board Position for TN)

Works with Sr. Communications Director as directed on the following:

• Manages the publishing of the Chapter Communications, including web related activities, social media outreach, writing and sourcing articles, etc.
• Coordinate with Sr. Director Communications, Director of Marketing and Director of Technology & Design to ensure design and publicity of upcoming events (led by programming team) and photo coverage of events.
• Ensures public relations placement in local and national publications of all events and news.
• Works with Director of Red Letter Awards to market the RLA event.
• Work with Director of Golf and Tennis to market fundraising event.
• Ensures that all Chapter events are included on the WICT National website’s programming calendar.
• Eligible for Sr. Director of Communications in following year.

Director of Marketing (1 Open Board Position)

Works with Sr. Communications Director as directed on the following:

• Coordinate with Sr. Director Communications, Director of Communications and Director of Technology & Design to ensure design and publicity of upcoming events (led by programming team) and photo coverage of events.
• Ensure public relations placement in local and national publications of all events and news.
• Works with Director of Red Letter Awards to market the RLA event.
• Works with Director of Golf and Tennis to market fundraising event.

Director of Technology & Design (1 Open Board Position)

Works with Sr. Communications Director as directed on the following:

• Works with Director of Marketing on the technological and design aspects of the Chapter website and all chapter membership correspondence related to programming and special events.
• Coordinates with Sr. Director Communications, Director of Communications and Director of Marketing to ensure publicity of upcoming events and photo coverage of past events.
• Works with various Board members to ensure the technological and design needs of all Chapter events are met.
• Responsible for the conception, layout, design and production of the Chapter’s creative visual elements for use across multiple media formats and must have experience with design software (Adobe InDesign, Photoshop, Illustrator, etc…).
• Coordinates and distributes correspondence to the Chapter membership regarding programming, membership and other initiatives specified by the Board via various marketing and communications tools (i.e., Website, Constant Contact, Acteva, Facebook, Twitter and LinkedIn, etc.).
• Ensure Chapter domain name registration remains current.
• Responsible for updating and maintaining the Chapter website: www.wict.org/southeast
• Manages relationship with webhosting vendor.
• Sets event registration in conjunction with all Chapter programming directors and treasurers.
• Eligible for Sr. Director of Communications in following year.

Director Red Letter Awards (1 Open Board Position)

• Assume primary responsibility for developing, implementing and managing the Chapter’s awards gala.
• Negotiate all contracts associated with location, food/beverage, florist, talent, etc…
• Oversee nomination and judging process in collaboration with Chapter Leadership.
• Works closely with the Sr. Treasurer and Treasurer in negotiating contracts with vendors.
• Recruit and manage a committee of volunteers to execute event.
• Assist the Directors of Sponsorship in developing leads.
• Work with Director of Marketing and Design/Webmaster to guide all efforts to promote the event to members of the Chapter, the industry and other interested parties.
• Keeps VP informed of all activity and any problems that might arise.

Director of Programming (2 Open Board Positions)

Work with Senior Director Programming as directed on the following:

• lan and execute programs for all members, non-members or prospective members in accordance with WICT’s mission statement and the Chapter Business Plan.
• Keep Sr. Director of Communications, Director of Marketing and Director of Design/Webmaster informed of events and what is needed regarding chapter communication, design needs and marketing expectations.
• Plan and execute one executive level only membership program per year.
• Plan and execute programs in a fiscally responsible manner.
• Prepare event summary recap after each event in an appropriate time frame and post on e-room.
• Survey attendees on events to gauge level of success as well as opportunities for future improvements.
• Eligible for Sr. Director of Programming in following year.

Director of Programming – Tennessee (1 Open Board Position; Must be a resident of Tennessee)

Work with Senior Director Programming as directed on the following:

• Manages the planning and execution of Chapter programming events in Tennessee, and assists with Mentoring and Membership in Tennessee.
• Plan and execute programs in Tennessee for all members, non-members or prospective members in accordance with WICT's mission statement and the Chapter Business Plan.
• Plan and execute programs in Tennessee in a fiscally responsible manner.
• Prepare event summary recap after each event in Tennessee in an appropriate timeframe.
• Survey attendees of events in Tennessee to gauge level of success as well as opportunities for future improvements.
• Assist Director of Mentoring with Mentoring Programs involving Tennessee based members.
• Assist Director of Membership with obtaining and retaining Tennessee based members.

Director Golf and Tennis Tournament (1 Open Board Position)

• Develop, implement, and manage the Chapter's annual golf and tennis tournament, the chapter’s principal fundraising event.
• Work with Sponsorship Directors to develop opportunities to ensure that financial objectives are met.
• Plan and execute the tournament in a fiscally responsible manner and ensure the overall success of the event.
• Guide all efforts to promote the event to members of the Chapter and the industry and to other interested parties.

Director of Mentoring (1 Open Board Position for GA/1 Open Board Position for TN)

Work with Sr. Director of Mentoring as directed on the following:

• Assumes primary responsibility for developing, implementing, and managing the components of the Chapter’s mentoring program.
• Serves as liaison with mentoring partner(s), such as colleges, participating companies, and other industry associations as deemed appropriate by the Chapter board.
• Attracts and recruits committed members to the mentoring program.
• Develops and manages a 2-3 year long range Chapter mentoring plan.
• Director of TN must be a resident of Tennessee.
• Eligible for Sr. Director of Mentoring the following year.
